Key Responsibilities- Case File Management: Create, maintain, and audit electronic case files in Clio and MyCase, ensuring 100 % compliance with our document retention policy for every matter originating in Providence, Rhode Island. - Legal Research: Conduct statutory, case law, and regulatory research using Westlaw and LexisNexis, summarizing findings in concise memoranda for senior attorneys within 48 hours of request.- Drafting & Review: Prepare pleadings, discovery requests, and settlement agreements in bolthires Word and Adobe Acrobat, flagging any inconsistencies and applying the firm’s style guide before submission to the court. - E‑Discovery Support: Upload, tag, and produce documents in Relativity and Fastcase, meeting strict production deadlines (average turnaround ≤ 3 business days). - Client Communication: Serve as the first point of contact for clients in Providence, Rhode Island and elsewhere, providing status updates via Zoom and Slack, and coordinating virtual meetings with a 95 % on‑time attendance rate.- Calendar & Deadline Management: Maintain attorneys’ calendars in Outlook, tracking motions, hearings, and filing deadlines; send automated reminders and generate weekly docket reports. - Billing & Time Entry: Accurately record billable hours in Bill4Time, ensuring daily entry compliance and supporting the finance team’s monthly invoicing cycle. - Compliance & Confidentiality: Perform routine audits of privileged material, enforce data‑security protocols, and complete quarterly HIPAA and GDPR training.- Process Improvement: Identify bottlenecks in workflow and propose automation solutions using Zapier or Asana, contributing to a 15 % reduction in turnaround time over the past year. - Team Collaboration: Participate in bi‑weekly sprint retrospectives and a daily 15‑minute stand‑up (85 % async) to align priorities across litigation, corporate, and compliance teams. Required Qualifications- Associate’s degree in Paralegal Studies or a Bachelor’s degree with a legal focus (or equivalent experience).- 3–5 years of professional experience as a paralegal, legal assistant, or law clerk supporting litigation or corporate matters. - Proven proficiency with Clio, Westlaw, LexisNexis, bolthires Office 365, Adobe Acrobat, DocuSign, Slack, and Zoom. - Strong legal writing skills, with the ability to draft pleadings, motions, and discovery documents with zero errors. - Demonstrated ability to manage multiple matters simultaneously while meeting strict deadlines (average of 12 active cases). - Excellent interpersonal communication; comfortable interfacing with clients, attorneys, and vendors in both written and virtual formats.- Familiarity with e‑discovery platforms such as Relativity or Everlaw, and basic understanding of data‑privacy regulations.
