Under the guidance of the Retail Operations Manager, this role will be pivotal in providing exceptional customer service, administrative support, and operational assistance to internal team members. The ideal candidate will possess a strong background in the insurance industry, excellent communication skills, and the ability to multitask with precision. Key Responsibilities Respond to client and carrier inquiries via phone or email, addressing concerns or redirecting as needed, ensuring timely and effective communication.Issue certificates of insurance (COIs) and assist clients with policy audits or disputes, demonstrating a thorough understanding of insurance policies and procedures. Provide timely correspondence to carriers, brokers, and agents regarding policies and client requests, maintaining open lines of communication and fostering strong relationships. Handle phone coverage and manage email correspondence across sales, support, and certificates, ensuring seamless communication and minimizing response times.Prepare and distribute required documents, including quotes, invoices, affidavits, and policy-related forms, adhering to strict deadlines and quality standards. Maintain accurate data records in the management system, adhering to processes and naming conventions, and ensuring data integrity and compliance. Organize tasks efficiently to meet deadlines, notifying management of potential delays or challenges, and demonstrating proactive problem-solving skills. Perform general clerical duties and adhere to departmental best practices, contributing to a well-organized and efficient work environment.Support the team’s efforts to accomplish goals, help drive initiatives, support projects, fulfill tasks, and meet or exceed accountability metrics, embodying a collaborative and results-driven mindset. Manage leads and prospects using HubSpot (CRM) and the management system, ensuring accurate setup and assignment, and leveraging technology to enhance customer engagement and sales performance. Oversee the renewal tool, assigning accounts to appropriate team members and updating personnel records as needed, ensuring smooth renewal processes and minimizing errors.Support team operations by preparing and distributing documents related to new and renewal business, facilitating a seamless onboarding process for new clients and ensuring continuity for existing ones. Conduct research and resolve issues related to invoicing, reconciliation, and payment processes, demonstrating analytical skills and a customer-centric approach. Collaborate with team members during meetings to improve workflows and processes, fostering a culture of continuous improvement and innovation.Essential Qualifications High School Diploma or equivalent, with a strong foundation in education and a desire for continuous learning. Active Property & Casualty License, demonstrating expertise and compliance in the insurance industry. 2+ years of experience in an Independent Insurance Agency in a CSR or administrative support role, with a proven track record of delivering exceptional customer service and administrative support. Broad understanding of Commercial Insurance Policies, with the ability to interpret and apply policy terms and conditions.Experienced with bolthires Office Products such as Outlook, Excel, Word, Teams, and PowerPoint, with proficiency in using technology to enhance productivity and efficiency. Familiarity with agency management systems and tools (e.g., AMS 360, Applied Epic, Hawksoft) and phone systems, with the ability to adapt to new technologies and systems. Preferred Qualifications Familiarity with HubSpot (CRM), with experience in using CRM systems to manage customer relationships and sales performance. Previous experience in a remote work environment, with the ability to work independently and collaboratively in a virtual setting.Strong analytical and problem-solving skills, with the ability to interpret data and make informed decisions. Excellent communication and interpersonal skills, with the ability to build strong relationships with clients, carriers, and team members.
