Our Adult Detox and Crisis Recovery Unit is a 14-bed facility that admits individuals 24 hours a day, 7 days a week, to assist them safely through the process of detoxing from alcohol or other drugs. As a Part-Time Administrative Support Specialist, you'll play a vital role in supporting our team and ensuring the smooth operation of our facility. Job SummaryWe're seeking a highly skilled and experienced administrative professional to provide support to our Adult Detox and Crisis Recovery Unit.As a Part-Time Administrative Support Specialist, you'll be responsible for a wide range of administrative tasks, including data entry, accounting, and payroll processing. You'll work closely with our team to ensure the efficient operation of our facility and provide exceptional support to our clients. Key Responsibilities* Uses spreadsheets or databases to organize information and produce standard reports* Prepares a variety of complex disbursement forms, including check requests, travel forms, cash sheets, and journal entries* Compiles and maintains reports and financial statements* Greets visitors and maintains and administers appropriate safety procedures in secured environments* Sets up accounts, reconciles ledgers, and gathers data for use by others in preparing budget* Prepares a wide variety of accounting forms and reconciles daily receipts or accounts receivable/payable* Identifies discrepancies and makes corrections, collects required documents, and prepares expense vouchers and/or invoices* Verifies requests for goods and services against County contracts and funding sources, orders goods or services, and follows up/resolves discrepancies and ensures delivery* Ensures appropriate routing and approval of purchase requests* Establishes, modifies, and maintains a system for tracking the progress of work that is the responsibility of senior management* Trains new employees, provides and explains relevant policies and procedures, and composes routine correspondence on behalf of management* Schedules and cancels appointments, maintains calendars, schedules rooms for classes, meetings, and conferences, coordinates audio visual and training equipment, and types complex documents of a technical nature* Proofreads for spelling and grammar and uses multiple software applications to prepare information* Conducts tasks associated with payroll processing, including verifying timesheets, finding, researching, and providing resolution to payroll discrepancies* Completes and verifies data entry, distributes paychecks, and provides information and answers questions from staff regarding payroll issues* Maintains attendance and leave tracking records and acts as department/agency/functional resource in data management systems* Provides training to new users and coordinates Family and Medical Leave according to policies, procedures, and guidelinesEssential Qualifications* High school diploma or equivalent* Two years of administrative support experience* Associate's Degree in Business Administration or related field (preferred)* Experience can substitute for education, and education can substitute for experiencePreferred Qualifications* Experience working in a healthcare or social services setting* Knowledge of accounting and payroll processing procedures* Proficiency in bolthires Office and other software applications* Excellent communication and interpersonal skills* Ability to work in a fast-paced environment and prioritize tasks effectivelySkills and Competencies* Strong organizational and time management skills* Excellent communication and interpersonal skills* Ability to work independently and as part of a team* Proficiency in bolthires Office and other software applications* Knowledge of accounting and payroll processing procedures* Ability to maintain confidentiality and handle sensitive information* Strong problem-solving and analytical skillsCareer Growth Opportunities and Learning BenefitsAs a Part-Time Administrative Support Specialist at blithequark, you'll have the opportunity to develop your skills and advance your career in a dynamic and supportive environment.We offer a range of training and development programs to help you grow professionally and personally, including:* On-the-job training and mentorship* Opportunities for professional development and advancement* Access to industry-leading software and technology* Collaborative and supportive team environment* Flexible scheduling and remote work optionsWork Environment and Company Cultureblithequark is committed to creating a positive and inclusive work environment that values diversity, equity, and inclusion.Our team is passionate about delivering exceptional care and support to our clients, and we're dedicated to making a positive impact in our community.
