Temporary Part-Time Coordinator – Classroom ExpansionJob DescriptionSummary:The Coordinator will support AEME’s expansion efforts by facilitating the opening of new early childhood classrooms. This role has two areas of focus. 1. Coordinating all aspects of site preparation, documentation, and compliance required to secure certified child care licensing for a new site and adding a third classroom at an existing location. 2. Focused fundraising effort to meet a $25,000 match grant. This role will help engage local small businesses, corporate partners, and individual donors through a simple, clear outreach strategy.The position works closely with the development team and program leadership to ensure coordinated messaging, timely follow-up, and accurate reporting. The ideal candidate is highly organized, detail oriented, and comfortable managing multiple timelines and stakeholdersThe Coordinator will receive guidance and support from the Executive Director and School Manager on the projects. This position requires a self-starter with solid professional judgment. This position requires Oregon Fingerprint and Criminal Check clearance,First Aid and Cardiopulmonary Resuscitation Certificate as they will be based on site at Alder Montessori.They will use their Spanish and English communication skills daily to support community fundraising and new employee recruitment and hiring. This position is a part-time (0.5 FTE) exempt salaried temporary position. Start date on or before Dec. 1, 2025, through Feb. 28, 2026, with potential extension based on success of fundraising success. Reports To: Executive Director with day to day oversight by School ManagerWork Location: Alder Montessori &Remote (Work from home) and in CommunitySchool Schedule: Flexible weekly work schedule, during standard office hours.Focus Areas: Estimates - 60% of time spent on site expansion, 40% on community fundraising. Top Priority:• Licensing and Compliance Activities & Site Readiness• Comfortable with outreach, including phone mails and email communication• Strong team collaborator• Organized, reliable, and able to collaboratively structure and follow a clear step by step strategy• Documentation and reporting• Enthusiasm for expanding access to tuition-free Montessori educationJobDuties:• Initial and ongoing project planning.• Maintain organized digital and physical files related to licensing and expansion & fundraising project. • Provide progress updates and summary reports to leadership on a regular basis. • Develop and maintain a project timeline with key milestones for each site and project. • Coordinate communications among AEME leadership, partners, and outside parties. • Identify and resolve administrative or logistical challenges that may impactproject completion. • Regular initiative to identify ways to improve workflow and tools and show leadership in fostering collaboration within project team to identify workable solutions and implement.• Handle phone and email communications promptly and professionally. • Assist in school staff recruitment and hiring process. Site Expansion Specific JobDuties:Licensing & Compliance:• Coordinate the process of securing Certified Child Care Center licensing for anew AEME site in collaboration with state and local regulatory agencies. • Prepare, organize, and submit required documentation, forms, and supportingmaterials for licensing applications and inspections. • Track progress, follow up on outstanding items, and maintain accurate records forreporting and compliance.Site Readiness:• Support classroom setup and readiness activities, including schedulinginspections, vendor coordination, and materials delivery. • Communicate with ED, facility managers, contractors, and school manager to ensure timelycompletion of any required upgrades or modifications (as directed by ED). • Coordinate with project team and volunteers to set up classroom and site space for licensure. • Collaborates with ED and manager to purchase and organize materials and furnishings and handles ordering of items in alignment with program operations, budget, and quality standards.Fundraising Project Specific JobDuties:• Implement a straightforward fundraising strategy to secure donations of $500, $1,000, and $2,500 that qualify toward the match grant. • Conduct direct outreach, including cold calls, emails, and follow-up communication, to introduce the funding opportunity and invite donor participation. • Prepare and share brief donor materials, such as email templates, talking points, and one-page summaries, highlighting how contributions support the new Montessori classroom.• Collaborate with the team to plan and facilitate small engagement activities (e.g., informal tours, quick meet-and-greets, or community touchpoints) to build donor interest and trust. • Track outreach and contributions using simple internal processes, support acknowledgment letters, and ensure accurate reporting for the match grant requirement. Additional Occasional Job Duties• Substitute/Back up Site Administrator Site upkeep and space maintenance and safety plan. • Takes photos for the classroom, coordinate with manager to ensure any photos with children has a Release for Use agreement in place and on file.Skills, Knowledge, and/or Abilities Required:• Excellent personal and project organization• Strong verbal and written communication skills, Bilingual (Spanish & English)• AEME Mission, Vision and Values and centering of Equity and anti-racism• 2+ years relevant professional experience -administration and office management duties• Skilled with keyboarding, computers, software, system portals, and administrative systems• Calm and kind personality, knows how to create positive working relationships to get along well with others, self-reflective, and likes working in a kid and parent centered environment.• Highly organized and efficient. Able to focus and complete administrative tasks within an often noisy and disruptive shared space environment. • Dependable, and can be flexible with work schedule/job duties to support the school. • Creative problem solver, with solid professional judgement who displays warmth & trustworthiness. • Significant physical abilities include mobility lifting/carrying, reaching/handling, talking/hearing conversations, near/far visual acuity/depth perception/accommodation/field of vision.Preference for Candidates with the Following Qualifications/Experience:• Experience working in the Montessori educational setting. • Current Oregon Fingerprint and Criminal Check clearance. First Aid/CPR Certificate and is current with all mandatory trainings to work on-site at our Preschool location. • Knowledge of Oregon Certified Child Care Center Licensing requirements.
