We're looking for a highly organized, detail-oriented person to own our sales pipeline operations. You'll be the operational backbone of our business development efforts - the person who ensures nothing falls through the cracks, every lead is tracked, every follow-up happens, and every incoming project transitions smoothly from sales to delivery. This isn't a traditional "closer" sales role - it's about systematic pipeline management, process enforcement, and revenue operations. If you love structure, tracking systems, and making sure things actually get done, this is for you. ️ What you’ll do Pipeline & CRM Management (40%) Update and maintain all leads, opportunities, and deals in HubSpot daily Ensure data accuracy across all records (stages, values, close dates, owners) Identify and flag stalled opportunities Create weekly pipeline reports and dashboards Clean and deduplicate CRM data regularly Project Intake & Enforcement (30%) Monitor all incoming projects from proposal acceptance to kickoff Track and enforce required actions: signed contracts, payments, kick-off scheduling Follow up with clients on pending documents and approvals Coordinate handoff between sales and delivery teams Maintain project intake checklist and ensure compliance Flag any delays or blockers immediately Proactive Follow-up (20%) Own the follow-up cadence for all active opportunities Send reminders to clients about pending proposals and decisions Nurture lukewarm leads that aren't ready to close yet Re-engage dormant opportunities at appropriate intervals Track response times and chase down answers Revenue Operations & Reporting (10%) Monitor key sales metrics: pipeline value, win rates, average deal size, sales cycle length Identify bottlenecks in the sales process Provide weekly status updates to leadership on all active opportunities Track productivity metrics and flag underperforming areas Support pricing and proposal preparation when needed What you’ll need Polish and English fluency (spoken and written) – must-have 1-3 years experience in sales operations, BizDev support, or revenue operations Hands-on experience with HubSpot (or similar CRM) - not just basic, but actual daily management Obsessively organized with strong attention to detail Comfortable with data, tracking, and creating reports Proactive self-starter who doesn't need to be told what to follow up on Comfortable working across time zones (some MENA market interactions) Nice-to-haves: Experience in agency, consultancy, or B2B services environment Knowledge of design/UX industry Familiarity with proposal/contract processes Experience with international/MENA clients Basic understanding of project management What’s in it for you?
