Executive Assistant Location: Topeka United States Job Description: Blue Cross and Blue Shield of Kansas has an exciting opportunity for an Executive Assistant to help optimize the time and performance of the Chief of Staff. Tasks may involve acting as a first point of contact, dealing with correspondence, managing schedules, organizing meetings and appointments, controlling access to the Vice President, and participating in projects. The compensation range for this role is a good faith estimate, it is estimated based on what a successful candidate might be paid. The range may vary above or below the stated amounts. What you'll do Prepares tailored letters, emails, complex reports and agendas and minutes of meetings for approval. Prepares moderately complex documents using a variety of applications for technology devices, such as standard office software. Also responsible for gathering and summarizing data for reports. Works with guidance (but not constant supervision) to review and create relevant, effective reports. Schedules appointments, make arrangements for meetings and conferences, plans events, and organizes travel plans, following instructions to ensure more senior colleagues or a senior executive make the best use of their time. Assists in making a broad range of inquiries by email or mail or other means with any requests for information, directing more complex matters to colleagues as necessary. Initiate contact internally and externally on a regular basis to convey requests, provide instructions, or obtain information on behalf of leadership. Receives visitors and respond accurately and promptly to a broad range of questions and issues raised. Designs own monthly schedule and, if necessary, assign work to others in order to speed up office workflow and ensure high-priority tasks get done. Develops own capabilities by participating in assessment and development planning activities as well as formal and informal training and coaching. Develop and maintain an understanding of relevant technology, external regulation, and industry best practices through ongoing education, attending conferences, and reading specialist media. Develops and delivers multi-mode communications that convey a clear understanding of the unique needs of different audiences. For example, listens attentively and takes an interest, keeps others well informed, and conveys information clearly, concisely, and professionally when speaking or writing. Prepares and distributes agenda and corresponding materials for assigned Board committee meetings. Takes accurate minutes and maintains all committee files. What you need A high school education is required. Understanding and ability to maintain discretion and confidentiality in relationships with leadership, staff, and Board members. Strong communication skills, both verbal and written. Knowledge/Skills/Abilities Maintains discretion and confidentiality in relationships with leadership, staff, and Board members. Uses clear and effective verbal communications skills and provides technical guidance when required on expressing ideas, requesting actions and formulating plans. Supports business processes by understanding and effectively using standard office equipment while providing technical guidance as needed. Works with guidance (but not constant supervision) to plan, organize, prioritize and oversee activities to efficiently meet business objectives. Works with guidance (but not constant supervision) to review and create relevant, effective reports. Bonus if you have Associate's or Bachelor's degree. 3 years administrative experience. Experience with Excel and additional Microsoft products, as well as email with calendaring.
