The Entry-Level HR Assistant will play a crucial role in supporting our HR functions, contributing to the smooth operation of our organization, and ensuring that we're always striving for excellence. Key Responsibilities • Support recruitment efforts by posting positions, reviewing resumes, scheduling interviews, and conducting reference checks to ensure a seamless hiring process. • Manage the pre-employment process and launch internal onboarding, including I-9 administration, to welcome new hires effectively. • Collaborate with IT on workflow matters related to new hires, transfers, and terminations to ensure accurate and timely processing. • Assist with the administration of benefits, including maintaining benefit platforms, reporting employee changes, ensuring carrier connection feeds are processed accurately, and reviewing benefit invoices. • Maintain demographic information within UKG, our HRIS system, and run ad hoc reports to support HR initiatives and decision-making. • Respond to internal and external People Operations inquiries or requests, providing timely and effective support. • Maintain employee documents electronically and complete employment and unemployment wage verifications as needed. • Support department and company audits, ensuring compliance and accuracy. • Manage customer compliance requirements and drug testing programs to ensure regulatory adherence. • Administer corporate credit cards and the expense system, ensuring proper use and reconciliation. • Order business cards as needed and manage office administration tasks, including conference room scheduling, voicemail routing, office supplies, mail distribution, building access, visitor coordination, and catering. • Coordinate and manage executive leadership travel arrangements, including transportation and accommodations, and prepare expense reports. Essential Qualifications and Skills To succeed in this role, you will need: • 1-3 years of HR Support experience, providing a solid foundation in HR principles and practices. • Strong Excel skills, including the ability to manipulate and analyze data using pivot tables, v-lookups, and Excel formulas. • Proficiency in Microsoft Office, particularly PowerPoint and Word, to effectively communicate and present information. • Attention to detail and the ability to solve problems and meet deadlines by managing multiple, competing priorities. • Excellent interpersonal skills, with the ability to communicate at all levels across the organization, as well as with external vendors and auditors. Preferred Qualifications While not mandatory, having experience with HRIS systems, particularly UKG, and a background in benefits administration can be advantageous. A proactive and organized individual with a keen interest in HR will thrive in this role.
